Removing a Copier at the End of the Lease: Who Pays – You or the Supplier?

As with any other type of contract, your copier lease is detailed, full of legal jargon and fine print. If you’re like most people you haven’t read the entire document word for word – just the important parts regarding monthly lease charges, maintenance fees and perhaps the length of the agreement.

Common Copier Lease Terms

The majority of copier leases run between three and five years or 36 and 60 months. At the end of this term the customer typically has one of two options:

1. Pay the Vendor to Retrieve the Equipment – This can add up to an exorbitant amount as the fees for copier removal are based on two distinct areas:

  • Preparation- A significant amount of work goes into preparing a copier to be moved, including removing any liquid materials from inside and decommissioning the hard drive to erase all your confidential information. From there the unit must be carefully packaged to prevent damage during transit.
  • Removal – Many copiers or MFP’s weigh several hundred pounds, greatly increasing the cost of shipping. Add to this insurance and transit fees and you could be facing a bill upwards of $500 dollars.

2. Return the Equipment Yourself – This involves the customer packaging and returning the equipment to a destination set forth in the agreement, potentially across the country and facing the same challenges as outlined above.
